Role Summary

To deliver excellent administrative support to the Sales team by demonstrating the ability to work effectively within and with a variety of individuals, situations and groups. Success in this position will be dependent upon the individual’s ability to be proactive by anticipating areas where assistance is needed, applying initiative, and having the ability to communicate and interact at a 5-star level with Christophe Harbour members and sales prospects.

Responsibilities

– Manage the guest arrival experience at the Real Estate Office.

– Perform office management duties for the Real Estate Office.

– Track Real Estate activities, including but not limited to: walk-ins, call-ins, web/email leads and inquires, offer processing, coordinate closing.

– Generate critical daily, weekly and monthly activity and sales reports.

– Notify Guest Services of prospective client tours and visits and coordinate special requests.

– Assist in managing the database within the Property Base platform.

– Plan meeting and trade shows by coordinating requirements, establishing contacts and developing schedules and assignments, and coordinating mailing lists.

– Ensure sales materials are stocked throughout the property.

– Coordinate all office pick-ups and deliveries.

REQUIREMENTS

– Minimum of one (1) year experience in the luxury hospitality or Real Estate services industry.

– Administration skills: able to use email and MS Word, Excel competently to produce reports, documents, basic spreadsheets and maintain data bases.

– Supports sales staff by providing sales data, market trends, forecasts, account analyses, new product information; relaying customer services requests.

– Must be Bilingual, (fluently speak, write and understand two or more languages).

– Strong writing, organizational and execution skills.

– Strong team focus / collaboration skills

– Motivated to deliver a remarkable guest experience.

– Able to work effectively with minimal supervision.

– Able to work full-time
